Office Relocation Planning

With continual changes in market conditions, companies may be required to review their business strategies, modes of operations and business models from time to time so as to adapt to the market condition changes and stay competitive in the market. As part of the business review process, some companies might be required to expand or diversify their business operations and relocate their headquarters, branch offices and manufacturing plants to another location.

Office relocation is more than just moving people and equipment from one location to another. Transferring equipment from the old office location to the new one does not necessarily mean everything will work in the new office location. Without proper pre- and post-relocation planning and contingency planning, the relocation exercise can cause lots of unnecessary disruptions and delays to the business operations. So to some degrees, office relocation planning is quite identical to operational continuity planning as both processes aim to enable the company to continue its business operations with minimal disruptions.

One of the key challenges faced by companies during an office relocation exercise is the ability to relocate the company's IT infrastructure, business systems and facilities to the new location in the shortest time possible so that any disruption to the business operations is minimized. To do that, every aspects of the company's IT infrastructure, business systems, business processes and facilities has to be taken into consideration when developing the office relocation plan and contingency plan. The complexity of the office relocation process varies from company to company and depends much on the complexity of the client's existing operating environment.

Effective co-ordination and communication is the key ingredient of successful office relocation. Timely and careful execution of the office relocation plan is as important as the development of the plan itself. Due to the fact that many parties and people, both internal and external will be involved in the office relocation process, hence it is extremely important to ensure everyone know exactly when, where, what and how to do before, during and after the office move.
